Vertical Productions Ltd. respects your privacy and is committed to protecting personal data in accordance with the General Data Protection Regulation (EU) 2016/679 (“GDPR”).
This notice explains how we collect and use personal data when carrying out filming, video production, and related promotional activities.
1. Who We Are
Vertical Productions Ltd. is a video production company providing filming, editing, and promotional content services.
For most filming projects carried out on behalf of clients, Vertical Productions Ltd. and the commissioning client act as Joint Data Controllers, determining how and why personal data is used.
2. What Personal Data We May Collect
Depending on the nature of the filming, we may process:
Video recordings of identifiable individuals
Audio recordings and voice
Visual appearance, likeness, and actions captured on film
Statements or contributions made during filming
Filming location, date, and contextual information
We do not intentionally collect sensitive personal data.
3. How We Collect Personal Data
We collect data in the following ways:
a) Featured Participants (e.g. taste tests, interviews)
Individuals are approached directly and asked to sign a consent and release form before filming.
b) Incidental Capture (Background Footage)
In public or event environments, individuals may appear incidentally in the background of footage. Clear signage is displayed where filming is taking place.
4. Our Legal Basis for Processing
We rely on the following GDPR lawful bases:
Consent (Article 6(1)(a)) – for individuals who actively participate and sign a release form.
Legitimate Interests (Article 6(1)(f)) – for incidental background capture necessary to produce authentic event and promotional footage.
Our legitimate interest is the creation of audiovisual marketing content in a proportionate manner that does not override individual rights and freedoms.
5. Purpose of Processing
We process personal data strictly for:
Producing promotional and marketing videos
Publishing content on platforms such as TikTok, Instagram, YouTube, and LinkedIn
Showcasing work in portfolios and presentations (internal or external)
Delivering production services to our clients
Footage is never used for automated decision-making or profiling.
6. Filming Locations
Where filming takes place in private venues, Vertical Productions always obtains permission from the location owner or authorised representative before filming.
7. Children’s Data
Vertical Productions does not knowingly process personal data relating to children.
If children are inadvertently captured in footage, that material is deleted and never used.
8. Data Storage and Retention
Raw footage is stored securely on devices owned and controlled by Vertical Productions Ltd. within the European Union.
All raw footage is deleted within 30 days of filming.
Edited material may be retained as part of completed works, marketing archives, or portfolios where lawfully created.
9. Data Sharing
We may share data only where necessary with:
The commissioning client (as Joint Controller)
Secure production platforms such as Frame.io for delivery and review of completed material
IT or storage providers operating within the EU
We do not sell personal data to third parties.
10. International Transfers
We aim to process data within the European Economic Area (EEA).
Where content is published on global social media platforms, those platforms may process data outside the EEA under their own safeguards.
11. How We Protect Your Data
We implement appropriate technical and organisational measures including:
Restricted access to footage
Secure storage systems
Controlled project access
Deletion schedules for raw material

You have the right to:
Request access to your personal data
Request correction or erasure where applicable
Object to processing based on legitimate interests
